Privacy Policy

How Notiva Mail handles account, delivery, and operational information when you use the service.

Information we collect

Notiva Mail is a Centipid Technologies product. We collect the information needed to create and operate your account, including your name, email address, workspace name, authentication records, plan, membership role, and service settings.

When you use the service, we record sending domains, DNS verification status, API-key metadata, webhook endpoints, suppression entries, usage totals, and technical records such as request time, status, and identifiers. Secret values are shown only when created or rotated and are stored in protected form where the service needs to retain them.

If you contact us, we receive the information you include in the request, such as your name, email address, company, subject, and message.

How we use information

We use this information to authenticate users, maintain tenant separation, provide message delivery, verify sending identities, enforce quotas and suppressions, deliver customer webhooks, support account recovery, and respond to support requests.

We also use operational records to secure the service, investigate abuse and delivery failures, reconcile usage, maintain service reliability, and meet legal obligations. We do not sell personal information or use message data to build advertising profiles.

Message and recipient processing

You provide sender and recipient addresses, MIME content, and optional message tags when submitting a message. We process that data on your instructions to validate, queue, transmit, trace, and report the message through our email delivery providers.

Delivery events can include acceptance, delivery, delay, bounce, complaint, and failure data. Hard bounces and complaints may create tenant-scoped suppression records to prevent unsafe repeat delivery. Customers are responsible for ensuring they have a lawful basis to provide recipient information and message content.

How information is shared

We disclose information only as needed to operate Notiva Mail, including to infrastructure, hosting, queue, security, and email delivery providers acting for the service. Delivery providers receive the message and addressing information required to attempt delivery.

We may also disclose information when required by law, to protect users or the service, to investigate misuse, or as part of a business transaction subject to appropriate confidentiality protections. Workspace information is available to authorized members according to their role.

Retention and security

We retain account and operational information for as long as needed to provide the service, maintain reliable records, resolve disputes, enforce agreements, and satisfy legal requirements. Message metadata and raw content may have different retention periods; terminal message content is eligible for controlled deletion while limited delivery evidence may remain.

We use access controls, tenant scoping, encryption for retained secrets, signed requests, and operational monitoring to protect information. No system is completely secure, so account owners should use strong credentials, limit API-key abilities, rotate exposed secrets, and notify us promptly of suspected compromise.

Your choices

You can update workspace settings, rotate or revoke API keys and webhook secrets, remove webhook endpoints, and manage sending domains and suppressions through the service. You may ask us to access, correct, export, or delete account information, subject to identity verification and information we must retain.

International processing

Notiva Mail and its service providers may process information in countries other than the one where you live. Those locations may have different data-protection rules. We use service-provider agreements and access controls intended to protect information wherever it is processed.

Changes and contact

We may update this policy as the service, providers, or legal requirements change. We will publish the revised policy here with a new effective date and provide additional notice when a change materially affects how we handle information.
